Monitor a Task List

In Fairways Debt, the Compliance Calendar module allows you to get an overview and monitor all the task lists of the events in relation to the portfolio. The status of these tasks lists can be updated according to the processing status of the related tasks.

Prerequisites
  1. Contact your Finance Active consultant to enable the Compliance Calendar module.
  2. Create an Event Type, if relevant.
  3. Add an Event to a Transaction, if relevant.
  4. Create a Task.
  5. Associate a Task with an Event Type.

...From the Calendar Application
  1. Log in to your Fairways Debt account and select a customer account, if relevant.
  2. Navigate to Applications Applications.png > Calendar.
  3. Use the period, event type and task list status filters to navigate to the relevant event.
  4. Click the event either on the planning area or on the Upcoming Events panel to view the detail on a dedicated popup window.

Click on the transaction reference on the header to open the transaction associated with the event.

Expand the Details area to view the event details.

Expand the Tasks area to process the event's task list:

  • Assign a task list to a user. To do so, select the relevant assignee on the list.
  • Mark a task as completed by selecting the corresponding checkbox. The status is then updated accordingly.

Notes:

  • A task list is in "Upcoming" status when the effective date (including the current date) has not been reached and at least one of the related tasks has not been marked as completed.
  • A task list is in "Overdue" status when the effective date has been reached and at least one of the related tasks has not been marked as completed.
  • A task list is in "Completed" status when all the related tasks have been marked as completed, regardless of the effective date.
  • When a task list is assigned, an email is sent to the concerned user who subscribed to receive the corresponding notifications.
  • A daily update of the task lists is sent by email to the user who subscribed to receive the corresponding notifications.
  • It is not possible to assign a task list already assigned to an external user.

 

...From the Compliance Calendar Module
  1. Log in to your Fairways Debt account and select a customer account, if relevant.
  2. Navigate to Applications Applications.png > Calendar > Compliance Calendar.

The events and their associated task lists display according to the selected filters for period, event types and task list statuses.

Note:

  • The date in the Due Date column refers to the event's due date.
  • The date mentioned in the Effective Date column refers to the task list's due date.

Description

A

Select a period to display the related events and their associated task lists.

B

Filter the events to display according to specific types (general and/or custom event types) and/or assignees.

C

Filter the task lists by status.

  • A task list is in "Upcoming" status when the effective date (including the current date) has not been reached and at least one of the related tasks has not been marked as completed.
  • A task list is in "Overdue" status when the effective date has been reached and at least one of the related tasks has not been marked as completed.
  • A task list is in "Completed" status when all the related tasks have been marked as completed, regardless of the effective date.

Search for a task list by:

  • Name of the associated event type
  • Task name
  • Transaction reference
  • Assignee

By default, task lists are sorted according to the due date of the associated event.

Sort task lists. Click an item:

  • Once, to sort by ascending alphabetical or numerical order. An arrow directing to the top ↑ displays beside the sorted item.
  • Twice, to sort by descending alphabetical or numerical order. An arrow directing to the bottom ↓ displays beside the sorted item.
  • Three times, to cancel sorting. No arrow displays.

Process a task list for a given event:

  • Edit the effective date. To do so, double-click on the corresponding value.
  • Open the transaction associated with the event. To do so, click on the transaction reference.
  • Assign a task list to a user. To do so, select the relevant assignee on the list on the corresponding row.
  • Mark a task as completed by selecting the corresponding checkbox. The status is then updated accordingly. Your user name and the date are automatically displayed on the corresponding row.
  • Add a comment for a given task. To do so, click on the comment icon on the corresponding row.

Notes:

  • Tasks are displayed in the order defined during their association with the event type.
  • When a task list is assigned, an email is sent to the concerned user who subscribed to receive the corresponding notifications.
  • A daily update of the task lists is sent by email to the user who subscribed to receive the corresponding notifications.
  • It is not possible to assign a task list already assigned to an external user.

G

Export to an Excel file the current view of the compliance calendar according to the selected filters for period, event types, statuses and assignees.
